Google "procurement software for manufacturers" and look at what ranks. Spend management platforms. Requisition and approval tools. P2P suites with catalog punchouts. Software built for a company buying laptops and SaaS seats, wearing a manufacturing landing page.
If your team buys castings, PCBAs, resins, and custom machined parts, most of it doesn't fit. Not because the tools are bad. Because they were designed for a different problem, and the vendors know that "manufacturing" is a high-intent search term.
We've sat through a lot of these demos. Here's the honest map of the market, category by category, including where our own product fits and where it doesn't.
The Test That Sorts Every Procurement Tool in Five Minutes
Ask one question in the demo: "A supplier emails me a PDF quote with different line-item descriptions than my RFQ, a partial response, and no lead times. What does your software do with it?"
Indirect spend tools have no answer, because in their world quotes don't look like that. Prices live in catalogs and contracts. The hard part is controlling who's allowed to buy and routing approvals.
Direct materials procurement is the opposite. Your prices don't live in a catalog. They live in RFQs sent to multiple suppliers, PDF quotes that all look different, and email threads about ship dates. The hard part isn't approval routing. It's the supplier-facing work: quoting, chasing, confirming, tracking.
If a vendor demo spends 40 minutes on approval workflows and 2 minutes on what happens after the PO goes out, you're looking at an indirect tool. Doesn't matter what the landing page says.
What Are Your Actual Options?
Five categories. Most listicles mix them together, which is why those lists are useless for deciding anything.
Spend Control and P2P Tools (Procurify, Precoro, ProcureDesk, Zip)
These are requisition-approval-invoice tools. An employee requests something, the request routes for approval, a PO gets cut, the invoice gets matched. They're genuinely good at that, and if your problem is maverick spend on indirect purchases, buy one.
But run the five-minute test. There's no RFQ engine that handles engineering drawings. No quote extraction from supplier PDFs. No follow-up when a supplier goes quiet on an open PO. The "supplier management" module is usually a vendor directory with contact info and onboarding forms.
These tools solve the approval problem. Manufacturers buying direct materials don't have an approval problem. They have a supplier communication problem.
Enterprise S2P Suites (SAP Ariba, Coupa, Ivalua, Jaggaer)
The full-stack answer: sourcing, contracts, procurement, invoicing, analytics, one platform. Ivalua and Jaggaer in particular have real direct materials functionality, including BOM-based sourcing.
The catch is everything around the software. Implementations run quarters, sometimes years. You'll need consultants, an internal admin, and supplier enablement campaigns to get vendors onto the portal. The machine shops and small component suppliers that make your custom parts are exactly the ones that won't log in. They'll quote you by email like they always have, and your buyers will re-key those quotes into the suite so the dashboards look populated.
For a 20,000-person company with a center-led procurement org, that tradeoff can be worth it. For most manufacturing teams, you're buying a battleship to cross a river.
ERP Procurement Modules (NetSuite, SAP MM, Epicor Kinetic, Infor)
You probably already own this one. Every ERP has purchasing: PO creation, receiving, three-way match, MRP-driven reorder suggestions. It's the system of record, and it should stay that way.
The problem is scope, not quality. ERPs weren't built for the supplier-facing work of procurement. Your ERP doesn't send RFQs with drawings attached, doesn't read the supplier's reply, doesn't notice that a confirmation never arrived. The data in the ERP is only as fresh as the last manual update, which is why the "expected delivery" column in your open PO report is fiction by week three.
Some teams respond by bolting on ERP add-ons or paying for the vendor's premium procurement module. In our experience that gets you better screens for the same manual process.
PO Collaboration Portals (SourceDay and Similar)
A narrower category that's at least aimed at the right problem: keeping PO data current between you and your suppliers. SourceDay syncs open POs from your ERP and gives suppliers a portal to confirm dates, prices, and quantities.
When suppliers actually use the portal, it works. That "when" is the whole bet. Portal adoption across a long tail of small suppliers is a grind: every shop that ignores the portal is back to email, and now you're managing two channels instead of one. The newest category, mostly founded in the last three years, built on a different assumption: suppliers won't change how they work, so the software has to meet them in email.
These tools send RFQs from the buyer's own email, extract line items and lead times from whatever format the supplier replies in, chase non-responders automatically, and write confirmed dates back to the ERP. How Should a Manufacturer Actually Choose?
Skip the feature matrix. Start from three numbers.
How many RFQs does your team run a month, and how many suppliers per RFQ? If competitive quoting is routine and quotes arrive as PDFs in five different formats, quote normalization is your bottleneck. Spend tools and ERPs do nothing for it.
How many open PO lines are you carrying? Under a hundred, a disciplined buyer with a spreadsheet survives. At 400-plus, no amount of discipline keeps confirmations, ship dates, and delay notices current by hand. One buyer we talked to ran her real PO status in a personal spreadsheet because she'd stopped trusting the ERP dates entirely. The ERP was the official record. The spreadsheet was the truth.
What share of your suppliers will genuinely use a portal? Be brutal here. Count your supply base, then count how many are small shops where "the portal" means one more login the owner's nephew set up and nobody checks. If that share is large, the portal categories will underdeliver no matter how good the software is.
Then match: approval chaos points to P2P tools. A large org standardizing globally points to a suite. Everyone else, which in our experience is most manufacturers, needs their ERP as the record plus something that does the supplier-facing work over email.

- Show me a supplier replying with a messy PDF quote. What happens next, step by step?
- What does your software do when a supplier doesn't respond? Who writes the follow-up?
- How does a confirmed ship date get from the supplier's email into my ERP? Who types it?
- What exactly does my supplier have to install, sign up for, or learn?
- How long until we see value, measured in weeks, and what does the implementation actually require from my team?
The fifth question filters out the suites. The first four filter out everything built for indirect spend.
